Privacy Policy

This policy explains how Texas State Roleplay handles information across our website, Discord bot, and connected community services.

Effective August 1, 2026

The short version

We use information to operate and protect the TXRP community, connect Discord members with community services, and provide features that members or staff request. We do not sell personal information or use message content for targeted advertising.

1. Information we collect

We may process the following information when you interact with TXRP services:

  • Discord account and server information: Discord user ID, username, display name, avatar, server membership, roles, nicknames, join or departure events, bans, and voice-channel state.
  • Messages and submissions: message content, commands, attachments, embeds, reactions, ticket messages, forms, applications, reports, training logs, and other content you submit to bot-managed workflows or configured channels.
  • Community and game information: linked Roblox identity, verification status, ER:LC player and session information, department membership, callsign, moderation history, and participation in TXRP programs or events.
  • Voice moderation information: voice activity and, in specifically designated moderation workflows, audio recordings used to document or review a moderation scene. These features operate only in configured community voice channels.
  • Website and login information: Discord OAuth profile details and authorization tokens, login and session records, IP-derived request and security information, page visits, browser/device information, and necessary cookies.

Some information is provided directly by you. Other information comes from Discord, Roblox, ER:LC, verification providers, or is generated through your use of TXRP services.

2. How we use information

We use information when reasonably necessary to:

  • authenticate users and maintain secure website sessions;
  • link Discord and Roblox identities and confirm community eligibility;
  • synchronize roles, nicknames, callsigns, whitelists, and department access;
  • operate commands, tickets, applications, training, dispatch, moderation, and voice workflows;
  • detect abuse, enforce community rules, investigate incidents, and maintain audit records;
  • send requested notices and operational updates; and
  • diagnose errors, measure service reliability, and improve TXRP services.

The bot may read message content to recognize prefix commands and run configured automations. It does not use message content to create advertising profiles.

3. When information is shared

We may disclose relevant information in these limited circumstances:

  • Within TXRP: to authorized staff or department personnel who need it for support, verification, safety, moderation, or community operations.
  • Service providers and integrations: to providers that help us host data or operate Discord, Roblox/ER:LC, verification, database, analytics, and infrastructure features. Their handling of information is governed by their own terms and policies.
  • Safety and legal reasons: when reasonably necessary to comply with law, protect users, investigate fraud or abuse, enforce our rules, or protect the rights and security of TXRP and others.
  • Organizational changes: as part of a merger, reorganization, or transfer of the community's services, subject to appropriate safeguards.

We do not sell or rent personal information.

4. Retention and security

We retain information only for as long as reasonably needed for the purpose for which it was collected, to maintain community records, resolve disputes, enforce rules, protect our services, and meet legal obligations. Retention varies by record type. For example, active login sessions expire, while ticket, moderation, verification, or audit records may be kept longer when needed for community safety and accountability.

We use reasonable administrative and technical safeguards designed to protect information, including access restrictions and secured sessions. No online service or storage system can guarantee absolute security.

5. Your choices and rights

You can stop using the bot or website, leave TXRP servers, revoke TXRP's Discord authorization through your Discord account settings, and manage cookies through your browser. Depending on where you live, you may also have rights to request access to, correction of, or deletion of personal information.

Submit a request through the official TXRP Discord server. We may need to verify your identity before acting on it. Some records may be retained when necessary for security, rule enforcement, legal compliance, or other legitimate purposes.

Age requirements

TXRP services are not intended for anyone below the minimum age required to use Discord or Roblox in their region. If you believe a child has provided information in violation of an applicable age requirement, please contact us.

Changes to this policy

We may update this policy as our services or legal obligations change. We will post the revised version here and update the effective date. Material changes may also be announced through our community.
